Zoho CRM Alternative for Small Businesses: When to Switch and What to Pick

Zoho CRM is cheap to start and can do almost anything. Here's how to tell whether your frustration is Zoho or your setup, what a nine-person team really pays, and where to go if you do leave.

By Argento CRM Team Published 10 min read
Short answer

The right Zoho CRM alternative depends on what's actually wrong. If Zoho feels too big, try Zoho's own Bigin or a simpler CRM. If the per-user bill or the number of separate Zoho apps is the problem, a flat-rate all-in-one CRM like Argento puts sales, support tickets, tasks and projects in one place with everyone's login included from $25 a month. If you rely on Zoho's workflow rules, custom modules or deal forecasting, stay put: Argento doesn't do those.

Most people searching for a Zoho CRM alternative aren't unhappy with Zoho's price on day one. Zoho's entry editions are some of the cheapest per-user CRM plans around. The frustration shows up later: a setup screen with more options than the team will ever touch, a support desk that lives in a different app, and a per-user bill that grows every time you hire someone who only needs to look things up. This guide sorts out which of those problems you have, what Zoho genuinely does better, the real cost for a nine-person team, and how to move your data without making a mess.

Is it Zoho, or is it your setup?

Before you switch, match your complaint to its cause. Some Zoho frustrations are fixable inside Zoho in an afternoon, and switching won't cure them.

What you're feelingLikely causeSwitch?
"Nobody updates it."Too many required fields and layouts nobody agreed on.Not yet. Trim fields and statuses first; the same habits follow you to any CRM.
"Setup takes forever."Zoho is built to be configured. That's a strength if someone enjoys it.Maybe. If nobody on staff wants to be the admin, a CRM with less to configure fits better.
"Support requests live somewhere else."Ticketing is a separate product (Zoho Desk) that syncs with the CRM.Yes, if half your team works in the help desk and never sees sales history.
"The bill jumps every hire."Per-user pricing on every paid edition.Yes, if most new logins belong to people who rarely touch a deal.
"We need better forecasting."Feature lives on a higher edition.No. Upgrade within Zoho. Argento has no dollar values or forecasts on deals.
"We use Books, Desk, Projects and more."You're on the Zoho ecosystem, maybe Zoho One.Probably not. Leaving the CRM alone rarely saves money when the rest stays.

What Zoho CRM does well

A fair comparison starts here, because Zoho is a strong product and plenty of small businesses run on it happily.

Argento doesn't try to match any of those five. It's built for a different problem: small teams that want sales, support and delivery work on one set of customer records without anyone becoming the CRM administrator.

Zoho CRM pricing for a nine-person team (as of October 2026)

As of October 2026, Zoho CRM's pricing page and third-party listings show Standard at $14, Professional at $23, Enterprise at $40 and Ultimate at $52 per user per month billed annually. Monthly billing costs more: $20 for Standard, $35 for Professional and $50 for Enterprise. Check the page before you budget, since Zoho adjusts pricing by region.

Say you run a nine-person IT support company. Two people sell and handle renewals. Five technicians work support requests all day. One office manager schedules and chases paperwork, and the owner wants to see everything. Everyone needs the client's history, but only two of them ever move a deal.

SetupHow it's calculatedYear one, list price
Zoho CRM Standard, all nine users, annual9 × $14 × 12$1,512
Zoho CRM Professional, all nine users, annual9 × $23 × 12$2,484
Zoho CRM Professional, all nine users, monthly9 × $35 × 12$3,780
Zoho CRM Enterprise, all nine users, annual9 × $40 × 12$4,320
Argento CRM Starter, all nine users$25 × 12, up to 10 users included$300

Two things that table doesn't show. First, the five technicians would probably live in a help desk, which in the Zoho world is a separate product with its own pricing. Second, the editions aren't like for like. Professional and Enterprise include workflow automation, forecasting and analytics that Argento doesn't offer at any price. If your team needs those features, Zoho is good value. If the technicians only need the client history, a ticket and a reminder, you're paying per head for features they won't open. Our breakdown of CRM without per-user pricing runs the same math as a team grows.

Zoho similar software: four directions you can go

Lists of software similar to Zoho tend to rank twenty CRMs as if they all do the same job. They don't. Pick the direction that fixes your actual complaint.

Stay with Zoho, go lighter: Bigin

Zoho sells Bigin, a pipeline-focused CRM aimed at very small businesses. If your only problem is that Zoho CRM feels heavy, try this first. You keep the vendor, the ecosystem and the familiar look.

Another large suite

HubSpot, Salesforce and Microsoft Dynamics 365 compete with Zoho on breadth. They make sense if you want more of what Zoho has, not less. Expect a higher price per user for comparable features. Our HubSpot alternatives guide and Salesforce alternatives guide cover those trade-offs.

A pipeline-first sales CRM

Tools like Pipedrive give a small sales team a fast deal board with values and forecasting. Good when everyone using the CRM is a seller. Support and project work still live elsewhere. See our Pipedrive alternative piece for when that stops working.

A flat-rate all-in-one CRM

Fewer settings, but companies, contacts, deals, support tickets, tasks, projects, documents and team chat share one database, and logins are included in the plan price. This is where Argento sits. It suits teams whose real issue is that half the company works outside the CRM. If support is the big one for you, read CRM with a ticketing system.

Moving out of Zoho: the export-and-import order

The order matters. Contacts need companies to link to, and tickets and tasks need both. Plan on one focused afternoon for a team this size.

  1. Export from Zoho. In Zoho CRM, go to Setup → Data Administration → Export, click Start an Export, pick the module and fields, choose CSV, and download the ZIP from Export History when it's done. Zoho's export help article notes that you need the Export permission on your profile, CSV exports top out at 200,000 records per module, and download links expire after seven days, so grab the files the same day. Export Accounts, Contacts, Leads, Deals, Tasks and Notes.
  2. Clean the files. Merge duplicate accounts, delete leads with no email and no phone, and decide what your Zoho lead statuses become. Five or six statuses is plenty.
  3. Import companies first. In Argento, open Settings → Data Management → Import Data, choose companies, select the Accounts CSV and click Next: Map Fields. Set anything you don't need to Don't Import.
  4. Import contacts, then leads. Bring Contacts in next, then the Leads file as contacts too, mapping Zoho's Lead Status column to Argento's Lead Status. The summary screen tells you how many rows were skipped and why. If an import fails, nothing is saved, so you won't end up with half a list. Details are in the Help Center.
  5. Import open tasks and support items. Bring open tasks in as tasks and any open support requests as tickets. Turn on email reminders for anything due this week.
  6. Add deals. The importer handles companies, contacts, tickets and tasks. For deals, either add your open ones by hand or connect Claude under Settings → MCP Server (setup steps in the Help Center), paste the open rows from your Zoho deals export, and ask it to create each deal linked to the right company. Check the Recent activity log afterward to confirm what it created.
  7. Reconnect your website forms. Argento's form capture works with Contact Form 7, Gravity Forms, Ninja Forms, WPForms, Elementor and plain HTML forms, so new inquiries land as records without retyping.
  8. Invite the whole team. In the IT support example, the five technicians and the office manager get logins on day one. That's the point of switching.

Closed deals and old notes are usually best left in the Zoho export files rather than imported. Keep those ZIPs somewhere safe and start clean.

Frequently asked questions

What is the best Zoho CRM alternative for a small business?

It depends on the problem. If Zoho CRM feels too heavy, Zoho's own Bigin is the gentlest step down. If you want more power, look at another large suite like HubSpot or Salesforce. If your issue is per-user pricing and support or projects living in separate apps, a flat-rate all-in-one CRM such as Argento CRM puts them on one set of customer records from $25 a month with up to 10 users included.

How much does Zoho CRM cost?

As of October 2026, Zoho CRM is listed at $14 per user per month for Standard, $23 for Professional, $40 for Enterprise and $52 for Ultimate when billed annually, with higher prices on monthly billing. There's also a free edition for up to three users. Check Zoho's pricing page for your region before budgeting.

Is there software similar to Zoho that's easier to set up?

Yes. Zoho similar software falls into four groups: Zoho's own lighter Bigin, other large suites, pipeline-first sales CRMs and flat-rate all-in-one CRMs. The last two have far fewer settings. Argento, for example, comes with companies, contacts, deals, tickets, tasks and projects already linked, so there's nothing to design before you start.

Can I import my Zoho CRM data into Argento?

Yes. Export each module from Zoho under Setup, Data Administration, Export as CSV, then import companies, contacts, tickets and tasks in Argento under Settings, Data Management, Import Data and map the columns. Deals are added by hand or created by a connected AI assistant such as Claude from a pasted list.

Does Argento have workflow automation like Zoho?

No. Argento has no workflow rule builder, if-then triggers, lead scoring or SMS. Its automation is website form capture that creates records automatically, email reminders on tasks and tickets, and scheduled email campaigns sent from your own mailbox with open and click tracking.

Does Argento have AI like Zoho's Zia?

It takes a different approach. Instead of a built-in assistant, every Argento plan includes an MCP server that connects Claude, ChatGPT or Grok to your CRM. The assistant can search, summarize, create and update records under your own login, but it can't delete anything, and every action shows in a Recent activity log.
