Step-by-step guides for everything in Argento CRM — from adding your first contact to managing workspaces, users and billing.

Getting started

Signing in

app.argentocrm.com

Go to app.argentocrm.com, enter the email and password you chose at sign-up, and select Sign In.

If you were invited by a colleague, use the email address the invitation was sent to. Your workspace appears automatically once you accept.

Forgot your password? Use the reset link on the sign-in screen. The email arrives from our system — check spam if it doesn't appear within a few minutes.

Getting around

The sidebar on the left is your main navigation. It holds Dashboard, Companies, Contacts, Tickets, Tasks, Projects, Deals, Campaigns, Discover, Chat, Documents, Knowledge Base and Settings.

  • Select the arrow button at the top of the sidebar to collapse it to icons and give yourself more screen width.
  • On a phone or tablet, use the menu button to open navigation.
  • The circle at the top right is your profile menu — it shows your display name and is where you switch workspaces and sign out.

Dashboard

Sidebar → Dashboard

The dashboard is your at-a-glance summary of the current workspace. It shows counts for Companies, Contacts, Open Deals, Open Tickets, Pending Tasks and Active Projects, plus charts for Contact Pipeline, Companies by Type, Ticket Overview and Task Overview.

Every number reflects the workspace you're currently in. If a figure looks wrong, check which workspace is selected in your profile menu.

Records

Adding and editing companies

Sidebar → Companies

Add a company

  1. Select Companies in the sidebar.
  2. Select Add Company.
  3. Fill in the details. Only the company name is required: Company Name, Email, Phone, Address, Website, Industry, Type, Referral Source and Notes.
  4. Select Save.

Edit or delete

Select any row to open the company. Change what you need and select Save, or use Delete to remove it.

Industry and Type accept new values. Start typing in those fields and if the value doesn't exist yet you can add it, so your list grows with your business instead of being fixed up front.

What's linked to a company

Opening a company shows its associated Contacts, Tickets, Tasks and Projects, so you can see everything connected to that account without searching.

Adding and editing contacts

Sidebar → Contacts

Add a contact

  1. Select Contacts in the sidebar, then Add Contact.
  2. Enter First Name and Last Name.
  3. Optionally add Email, Phone, Position, Industry, Location, Lead Status, Lifecycle Stage, LinkedIn, Facebook, Instagram, Twitter and Notes.
  4. Select Save.

Linking a contact to companies

Use the Company field to attach the contact to an account. A contact can belong to more than one company — useful for consultants, agencies and people who sit across group businesses. Each company you add appears as a chip you can remove.

Typing a company name that doesn't exist yet offers to create it, so you don't have to leave the contact form.

Support tickets

Sidebar → Tickets

  1. Select Tickets, then Add Ticket.
  2. Give it a Ticket Name and a Description.
  3. Link it to a Company and a Contact so the history stays attached to the customer.
  4. Set the Status — Open, In Progress, Waiting, Closed or Archived.
  5. Select Save.

Sub-tasks and notes

Inside a ticket you can break work into sub-tasks using the "Add a sub-task…" field, and tick them off as you go. Notes are kept as a running history, so you can see what was said and when rather than overwriting a single field.

Reminders

Turn on a reminder in a ticket to get an email when it's due. See Reminders.

Tasks

Sidebar → Tasks

  1. Select Tasks, then Add Task.
  2. Enter a Task Name and Description.
  3. Optionally link a Company and Contact.
  4. Set a Due Date and a Status — Not Started, In Progress, Completed.
  5. Select Save.

Tasks are unlimited on every plan, so use them freely for follow-ups rather than keeping them in your inbox.

Projects

Sidebar → Projects

Projects group longer pieces of work against an account.

  1. Select Projects, then Add Project.
  2. Enter a Project Name and Description.
  3. Link the Company it belongs to.
  4. Set Status, Priority (Low, Medium, High) and a Due Date.
  5. Select Save.

Deals

Sidebar → Deals

Deals track opportunities from first conversation to close.

  1. Select Deals, then Add Deal.
  2. Enter a Deal Name and Description.
  3. Link the Company.
  4. Set Status, Priority and Due Date.
  5. Select Save.

The dashboard's Open Deals figure counts deals that aren't yet closed, giving you a quick read on the pipeline.

Working faster

Search, filter and sort

Every list — Companies, Contacts, Tickets, Tasks, Projects, Deals — has a search box above it. Searching filters as you type; use Clear search to reset.

  • Filters: narrow contacts by Industry, Location, Lead Status or Lifecycle Stage, and companies by Type.
  • Sorting: select a column heading to sort by it. Select again to reverse the direction. Sort state is kept per table, so sorting contacts doesn't disturb how your tickets are ordered.
  • Ordering options include Name A–Z, Name Z–A, Newest to Oldest and Oldest to Newest.

You can also choose which columns each list shows, and in what order — see Customizing columns.

Customizing table columns

Companies · Contacts · Tickets · Tasks → Edit Columns

Each of the four main lists lets you decide which columns you see and the order they appear in, so the table shows what matters to the way you work.

Show or hide columns

  1. Open Companies, Contacts, Tickets or Tasks.
  2. Select Edit Columns alongside the filters.
  3. Tick the columns you want to see and untick the ones you don't. The table updates straight away.

Reorder columns

In the same menu, drag a column by its handle to a new position, or use the up and down arrows to move it one place at a time.

What's available on each list

  • Companies — Company Name, Phone and Website are always shown. Add Industry and Type as needed.
  • Contacts — Name, Position and Email are always shown. Lifecycle Stage and Lead Status are on by default; Industry and Location can be added.
  • Tickets — Ticket Name, Status, Company, Contact and Created are always shown. Ticket Number and Assigned To can be added.
  • Tasks — Task Name, Status, Company and Due Date are always shown. Contact and Assigned To can be added.

Columns that are always shown can't be switched off. On Tickets and Tasks, your layout applies to both the open and the closed or completed tables.

Your layout is saved automatically. It's kept for you in each workspace, so it's waiting for you every time you sign in — even on a different computer — and your choices never change what colleagues see. Select Reset to default in the menu to go back to the standard columns and order.

Importing data

Sidebar → Settings → Data Management → Import Data

  1. Open Settings and find Import Data.
  2. Choose what you're importing — companies, contacts, tickets or tasks.
  3. Select your CSV file.
  4. Select Next: Map Fields and match each column in your file to a field in the CRM. Anything you don't need can be set to Don't Import.
  5. Select Import.

When it finishes you'll see how many records imported and how many rows were skipped, with the reasons listed so you can fix and re-import them.

If an import fails, nothing is saved — you'll see "Import Failed" rather than a success message, so you never end up with a half-loaded list. The most common cause is hitting your plan's record limit; see Plan limits.

Exporting data

Sidebar → Settings → Data Management

You can export your data at any time as CSV (zip) or JSON. Your data belongs to you, and export stays available even if your subscription lapses or you cancel — see Cancelling.

Bulk actions

In list views, use the checkboxes to select several records at once, then use Delete Selected. Clear Selection deselects everything.

Deletions are permanent. There's no undo, so export first if you're unsure.

Reminders

Tickets and tasks can send an email reminder when they're due. Turn on the reminder option inside the record and set the date.

Tools

Discover (lead intelligence)

Sidebar → Discover

Find new prospects and bring them into the CRM without leaving it. Discover was previously called Lead Intelligence — it works the same way, with more places to find contacts.

  1. Select Discover.
  2. In the Intelligence Scanner, enter a company domain to research.
  3. Review the results, tick the leads you want, and import them.

Every scan crawls the company's website, Google, Google Maps and LinkedIn. Each result is labelled with the source it came from.

Extra sources: Vibe Prospecting and Hunter.io

Two optional sources can be added to your scans once your workspace connects them:

  • Vibe Prospecting — adds verified work emails and direct phone numbers. Uses your Vibe Prospecting credits.
  • Hunter.io — adds the email addresses Hunter has found for the domain, with names, job titles and a confidence score. Uses your Hunter credits (1 credit per 10 emails).

When a source is connected, a switch for it appears in the top-right corner of the Intelligence Scanner. Turn it on to include that source in your next scan, or off to save credits. The standard scan runs exactly as before either way — if an extra source has a problem, you'll see a short message and still get your normal results.

If a source isn't connected yet, a banner at the top of Discover lets you know. Admins get a link straight to Settings → Integrations; everyone else can ask an admin to connect it. Select the × to dismiss the banner for that workspace. See Integrations.

Importing and verifying

Imported leads are created as companies and contacts in the current workspace, with Referral Source set to "Lead Intelligence" so you can tell later where they came from.

Email verification is powered by Reoon and is available to everyone in the workspace — User, Admin and Super Admin alike — once an admin has connected it under Settings → Integrations.

Campaigns

Sidebar → Campaigns

Send an email to a group of your contacts and see who opened it and who clicked. Campaigns go out through your own mailbox, not a shared Argento address, so replies come straight back to you and the sending reputation stays with your domain.

Set up your mailbox first under Settings → Email Preferences. Until you do, Campaigns will prompt you to add one and the Send button stays unavailable.

Building a campaign

A campaign is three steps, shown as tabs across the top. Each one ticks green when it has what it needs, and the checklist on the last step names anything still outstanding.

  1. Compose — give the campaign a name (internal only), write the subject line and the message.
  2. Recipients — tick the contacts to send to. Use the search box to narrow a long list.
  3. Send — send now or schedule for later, then review the checklist and send.

Writing the message

  • Use the formatting toolbar for bold, italics, headings, lists and links.
  • Insert button adds a call-to-action button — set the label, the link, the colour and whether it sits left or centred.
  • Personalise with {{first_name}}, {{name}} or {{email}}. Each recipient sees their own details, and {{first_name}} falls back to “there” when a contact has no name on file.
  • Tick Append signature to add your saved signature to the bottom. The checkbox is unavailable until you have saved one.
  • Reply-to sets where replies land, if that should differ from the sending mailbox.

Testing before you send

Use Send Test to post a copy to any address. A test is not counted in the campaign's open or click figures, and does not count against your daily limit.

Send a test to both an Outlook address and a Gmail address if you can. Email clients render differently, and it is the quickest way to catch a problem before a whole list sees it.

Sending and scheduling

Choose Send now, or Schedule and pick a date and time. Scheduled campaigns go out on their own — you do not need to be signed in.

Argento sends up to 50 emails per person per day. This keeps your domain from being flagged as a spam source. If a campaign has more recipients than that, the first 50 go immediately and the rest continue automatically over the following days until the list is finished. The campaign shows as Sending until it completes.

Tracking results

Each campaign records how many messages were sent, opened, clicked and failed. Opens rely on images loading, so treat the figure as a floor rather than an exact count — some people read with images switched off and are never counted.

If a campaign fails

The campaign shows the reason. The most common causes are a mailbox that was never connected, or a connection that has expired or been revoked — reconnect it under Settings → Email Preferences and send again. Recipients already sent to are not sent to twice.

Team chat

Sidebar → Chat

Chat with your workspace members without switching apps. Type in the Type a message… box and press Enter to send.

  • Channels for group conversation, and direct messages for one-to-one.
  • You can see who's online, and when someone is typing.
  • Unread messages show a badge on the Chat item in the sidebar.

Only members of the current workspace can see its chat.

Documents

Sidebar → Documents

  • Upload by dragging files onto the page or using the upload button.
  • Organise with folders; the breadcrumb at the top shows where you are.
  • Find files with "Search documents and folders…".
  • Switch between grid and list view, and sort the results.

Storage counts toward your plan's limit — 15GB on Starter, 30GB on Growth, 50GB on Scale. Current usage is shown under Settings → Manage Subscription.

Knowledge base

Sidebar → Knowledge Base

Write internal articles once and reuse them, so answers don't live in one person's head.

  1. Select Knowledge Base.
  2. Start a new article, give it a title in Article title… and write the body.
  3. Assign a category — use Manage Categories to create and organise them.
  4. Select Save Article.

Use Search articles… to find content, and the category filter to narrow the list. Uncategorised articles can be moved with Move to General.

Connecting Claude (MCP server)

Settings → MCP Server

Argento CRM ships an MCP server — a connector that lets your own Claude account work directly with your CRM. Once it's connected you can ask Claude things like “what's open for Northside Plumbing?” or “add a ticket for the Henderson roof quote and put it on Priya”, and it reads and writes the real records rather than guessing.

Connecting it

  1. In Argento CRM, open Settings and expand MCP Server.
  2. Select Copy next to the connector URL — https://app.argentocrm.com/mcp
  3. In Claude, go to Settings → Connectors → Add custom connector and paste the URL.
  4. A sign-in window appears. Enter the same email and password you use for Argento CRM and approve the connection.
Each person connects their own account, and the connection carries their own permissions. There is nothing for an administrator to set up first, and no API key to create or paste anywhere.

What Claude can do

  • Find things — search or list companies, contacts, tickets, tasks, projects, deals and knowledge base articles, with filters like “due before Friday” or “lead status is Connected”.
  • Summarise a workspace — record counts, open tickets, tasks due or overdue, active projects and open deals.
  • Pull a full company profile — the company plus every contact, ticket, task, project and deal attached to it, in one go.
  • Create and update records — including linking them to a company or contact by name, so you don't need to look up ids.
  • Manage subtasks on tickets, projects and deals — list, add, tick off or reword them.

Status values come from your own workspace lists, so Claude uses the same ticket, task, lifecycle and lead statuses you see in the app. If you ask for one that doesn't exist in your workspace, it tells you which values are allowed instead of inventing one.

What Claude cannot do

  • Delete anything. There is no delete tool in the connector at all — not for records, not for subtasks.
  • See workspaces you're not a member of. Every action runs as you, under the same permissions you have in the app.
  • Change users, roles, invitations or billing.

Plan limits and the read-only lock apply exactly as they do in the app, so if you're at your contact limit Claude gets the same message you would.

Seeing and revoking access

The same panel lists every app you've connected, when it was connected and when it was last used. Select Disconnect on any of them to revoke it immediately — Claude loses access straight away, nothing in your workspaces changes, and you can reconnect whenever you like.

Under it, Recent Claude activity shows the last actions taken through the connector, with anything that failed marked as such — so you can always check what was done on your behalf.

If Claude reports that the connection has expired, reconnect it from this panel. Sessions are refreshed automatically, but a password change or a long gap can require signing in again.

Your account

Your profile and photo

Profile menu (circle, top right) → Settings → Account Settings

  1. Open Settings and expand Account Settings.
  2. Update your display name — this is what colleagues see in chat, on records and in the profile menu.
  3. Upload a profile photo. You can crop it before saving.
  4. Select Save Changes.
If your profile menu shows the first part of your email instead of your name, your display name hasn't been set yet. Setting it here fixes it everywhere, including your workspace membership.

Changing your password

Settings → Account Settings

  1. Enter your current password.
  2. Enter a new password — at least 6 characters.
  3. Confirm it, then save.

Use something you don't use elsewhere. If you've forgotten your current password, sign out and use the reset link on the sign-in screen instead.

Email preferences

Settings → Email Preferences

Set the address that reminder emails are sent to. This can differ from your sign-in address — useful if reminders should go to a shared inbox rather than one person.

The same section holds your mail server, which is the mailbox Campaigns send through, and your email signature.

Email signature

Write a signature once and add it to campaigns with the Append signature tick box. Plain text or HTML both work, and a live preview shows how it will look.

Your signature is saved per workspace, alongside the mailbox it signs off. That way a message sent from one client's workspace is never signed with another client's details.

Mail server

Settings → Email Preferences → Mail Server

This is the mailbox Campaigns send through. Mail goes out as you, from your own address, so replies come back to you and delivery reputation stays with your domain.

Choosing a provider

Pick your provider from Mail provider:

  • 365 / Outlook — Microsoft 365, Outlook or Exchange Online. Select Connect, sign in with Microsoft and approve the request to send mail. Nothing else to fill in.
  • Google / Gmail — same idea, signing in with Google. This option only appears once it has been enabled for your account.
  • Other SMTP — anything else, including cPanel, SiteGround, Rackspace and on-premises Exchange. Enter the host, port, encryption, username and password from your mail provider.
Connecting Microsoft or Google never asks for your password. You sign in with them directly and grant permission to send, and you can withdraw that permission from your own account settings at any time.

Each workspace is separate

Your mailbox is saved per workspace. Switching workspaces shows that workspace's own setup, and connecting one does not affect the others. If you work across several clients, connect the right sending address in each.

Every member sets up their own mailbox, and nobody can see or send from anyone else's.

From name and address

From Name is the name recipients see. From Email defaults to the mailbox you connected. You can change it to an alias, but only one your mail provider already lets that account send as — otherwise the provider will refuse the message.

Testing it

  1. Test Connection confirms the sign-in still works. It does not prove mail will arrive.
  2. Send Test posts a real message to an address you choose. This is the one that proves everything end to end.

Neither counts against your daily send limit. Both buttons stay unavailable until a mailbox is connected.

If sending stops working

Connections can expire, or be revoked from your Microsoft or Google account. When that happens Campaigns says so and names what to do: disconnect the mailbox and connect it again. Nothing else needs changing.

Email arrives as plain text for some recipients

If a message looks right in Outlook but arrives as plain text elsewhere — links shown as Label<https://…>, images as bare addresses — the cause is a Microsoft 365 setting on the sending account's own tenant, not Argento. Ask whoever administers that Microsoft 365 account to open Exchange admin center → Mail flow → Remote domains → Default and set Use rich-text format to Never. Sending is normal again within a few minutes.

Administration

Users and roles

Settings → User Management

Add a user

  1. Open Settings → User Management.
  2. Select Add New User.
  3. Enter their email, name and a password (minimum 6 characters).
  4. Choose a role, then select Create User.

Roles

  • User — regular access to the workspaces they're a member of.
  • Admin — can manage users.
  • Super Admin — full platform access. Protected, and only an existing super admin can grant it.

Editing, deleting and restoring

Select a user to edit them. Deleted users can be brought back with Restore User, or removed for good with Complete User Deletion.

Each person counts as one seat no matter how many workspaces they belong to, so adding a colleague to a second workspace doesn't use another seat.

Workspaces

Profile menu → Switch Workspace · Settings → Workspace Settings

A workspace is a separate set of records. Use them to keep divisions, brands or clients apart — data in one workspace is not visible from another.

  • Switch: profile menu → Switch Workspace.
  • Create: Create New Workspace. Your plan sets how many you can have — see Plan limits.
  • Rename or delete: in Workspace Settings.
  • Members: Manage Workspace Access controls who can see each workspace.

Invitations

Settings → Workspace Invitations

Invite someone to a workspace and they'll see the invitation when they sign in, where they can Accept or Decline. Pending invitations are listed here so you can see what's outstanding.

Integrations

Settings → Integrations

Integrations are connected once per workspace by an Admin, and then work for every member of that workspace. Keys are stored securely on our servers — they're never shown in the app again or visible to other members. Each workspace is separate, so connecting a key in one client's workspace doesn't share it with another.

  • Reoon Email Verifier — verifies email addresses in Discover. Available to all roles once connected.
  • Vibe Prospecting — adds verified work emails and direct dials to Discover scans. Find your API key in the Explorium Admin Portal (the platform behind Vibe Prospecting) under Access & Authentication.
  • Hunter.io — adds the emails Hunter has found for a domain to Discover scans. In Hunter.io, open your account menu → API and copy your key, or go to hunter.io/api-keys.
  1. Open Settings → Integrations.
  2. Select the integration's card and paste the API key.
  3. Save. The matching switch appears in Discover straight away.

To remove one, open its card and select Disconnect. Discover goes back to its standard sources and nothing you've already imported is affected.

Connecting Claude to your CRM is set up separately, in Settings → MCP Server — see Connecting Claude.

Data management and purging

Settings → Data Management · Settings → Purge Data

Import and export live here, along with a Danger Zone for clearing records in bulk: Delete All Companies, Delete All Contacts, or both together.

This cannot be undone. Export a copy first. These actions affect the workspace you're currently in.

Billing

Managing your subscription

Settings → Manage Subscription

This panel shows your plan, status, trial end date and live usage meters for contacts, companies and storage.

  • Change plan — upgrade or downgrade immediately. Billing is prorated, so you're credited for unused time on the old plan and charged the difference.
  • Invoices & payment method — opens the secure Stripe portal to update your card or download receipts.
  • Cancel subscription — see Cancelling.
Only the account owner (the person who signed up) can change billing. Other members see the plan and usage but not the controls.

A downgrade is blocked if your current data exceeds the smaller plan's limits. The message tells you exactly what's over, so you can reduce it or pick a larger plan.

Plan limits

Limits are pooled across every workspace in your account, not per workspace.

Tickets, tasks, projects and deals are unlimited on every plan.

When you reach a limit you can still read, edit and export everything you already have — you just can't add new records of that type until you upgrade or free up room.

Cancelling your subscription

Settings → Manage Subscription → Cancel subscription

You can cancel yourself at any time — no email or phone call needed. Here's exactly what happens:

  1. All future charges stop immediately.
  2. You keep full access until the end of the period you've already paid for, or the end of your trial.
  3. After that your workspace becomes read-only — you can still sign in, view and export everything.
  4. Your data stays available for 30 days from that point.
  5. Reactivate within those 30 days and everything is restored exactly as you left it.
After the 30 days, workspace data is permanently deleted and can't be recovered. Export anything you want to keep before then.

Cancel during a free trial and you won't be charged at all.

Troubleshooting

"Your plan allows N contacts" when saving

You've hit your plan's record limit. Upgrade under Settings → Manage Subscription, or delete records you no longer need. Nothing you already have is deleted.

"This account is read-only"

Your subscription has lapsed, a payment failed, or a cancelled period has ended. Your data is safe and still exportable. Update billing or reactivate to restore write access.

My workspace isn't in the switcher

The workspace list is built from your memberships. If one is missing, ask an admin to check Manage Workspace Access for your account.

An import said it worked but records are missing

Check the results screen — a failed import reports "Import Failed" and saves nothing. If it succeeded but rows were skipped, the reasons are listed there.

My name shows as my email address

Set your display name under Account Settings.
