Keap Alternative for Small Businesses

Keap is a marketing automation platform with a CRM attached. If you bought it for the automation and use it every day, it may be worth the money. If you mostly use it as a contact list with reminders, you're probably overpaying. Here's how to tell which one you are.

Short answer

The right Keap alternative depends on whether you actually run Keap's automations. If multi-step email and text sequences, payments and appointment booking drive your revenue, look at another marketing automation platform, because a plain CRM won't replace them. If your team mostly uses Keap to store contacts, set follow-up reminders and send the odd broadcast, a flat-rate CRM does that for a fraction of the price. Argento CRM is $25 a month for up to 10 users, with deals, support tickets, tasks, projects and email campaigns included. It has no workflow builder, texting, payments or scheduler.

People usually start looking for a Keap alternative at renewal time, when the annual contract comes up and someone asks what the business actually uses. Keap (formerly Infusionsoft, and owned by Thryv since a 2024 acquisition) is built around automation: tag a contact, trigger a sequence, send an invoice, book a call. That's a lot of machinery. This guide starts with an audit of which parts you'd miss, prices a small team both ways, and then covers how to rebuild the follow-ups you care about without an automation builder.

What Keap does well

Keap has a loyal following for good reasons, and some of them don't exist in simpler CRMs, including ours. According to Keap's own comparison page, the platform includes:

If a coach, clinic or course business runs its whole funnel through that stack (form fill, nurture texts, booking, invoice, payment), Keap is doing real work. Ripping it out to save money can cost you more in lost follow-ups than you save. Be honest about that before you go any further.

What Keap costs as of October 2026

Keap doesn't list separate tiers. As of October 2026, Keap's pricing page lists one platform:

ItemListed price or term
Platform, monthly billing$299 a month
Platform, annual billing$2,988 a year (about $249 a month)
Users included2
Each extra user$39 a month
ContactsPriced in tiers; you enter your contact count on the page to see the price
ImplementationListed as required; price not shown
Cancelling an annual contract early$299 early termination fee
Text messagingA starter tier included; larger tiers are add-ons

None of that is unreasonable for a full marketing automation suite. It just puts a floor of roughly $3,000 a year under the bill before you add a third person, and it means a small team pays the same platform fee whether it runs forty automations or none.

The keep-or-drop audit: what do you actually use?

Before you compare Keap alternatives, spend ten minutes with your team on this table. For each row, mark whether someone used it in the last 30 days. Be strict: "we set that up two years ago" doesn't count.

Keap featureIf you use it weeklyIf you don't
Multi-step automations with branchesYou need a marketing automation platform. A CRM-only tool won't replace this.A CRM with reminders and scheduled campaigns is enough.
Text messagingKeep a texting tool, either Keap or a dedicated SMS service.Nothing to replace.
Invoices and paymentsMove them to your accounting software, which you likely already pay for.Nothing to replace.
Appointment bookingUse a standalone booking tool.Nothing to replace.
Landing pages and formsBuild forms on your own website and send submissions to the CRM.Same.
Email broadcastsA CRM with email campaigns covers this for most small lists.Same.
Contacts, notes, tasks and remindersAny decent CRM covers this. You probably still need it.
Pipeline with forecastingPick a sales CRM with forecasts.A simple deals list works.

Count your ticks in the first column. If the top two rows are ticked, stay on Keap or move to another automation platform. If most of your ticks are in the bottom three rows, you've been paying automation prices for a contact manager.

Keap alternatives, by the job you'd hire them for

Another marketing automation platform

The closest like-for-like swap. Worth it if branching sequences, lead scoring and texting are the heart of how you sell. Expect a similar price range and a similar setup effort, so only switch if you have a specific problem with Keap, not just the bill.

A big CRM suite

HubSpot, Salesforce and Zoho can match much of what Keap does once you buy the right edition and add-ons. They suit teams with someone who enjoys configuring software. Our guides to HubSpot alternatives for small business and Salesforce alternatives walk through their per-seat pricing.

A flat-rate all-in-one CRM, plus one or two small tools

This is the "drop" path from the audit. You keep customer records, follow-ups and broadcasts in a CRM where everyone gets a login, move invoicing to your accounting software, and add a booking tool only if you need one. Argento sits here. You trade automation depth for a much smaller bill and for having sales, support tickets and project work on the same customer record.

A worked example: five people, priced both ways

Say you run a five-person bookkeeping practice: you, two bookkeepers, an office administrator and a part-time marketer. You signed up for Keap to run a lead-nurture sequence and send monthly newsletters. Today the sequence is three emails long and nobody has touched it in a year. Invoicing already happens in your accounting software. What people actually do in Keap is look up clients, log notes and set reminders.

Year one at list prices, as of October 2026, before contact tiers and implementation:

SetupHow it's calculatedYear one
Keap, annual billing$2,988 + 3 extra users × $39 × 12$4,392
Keap, monthly billing($299 + 3 × $39) × 12$4,992
Keap, sharing two logins across five people$2,988 annual$2,988, plus the cost of nobody knowing who changed what
Argento CRM Starter, all five people$25 × 12, up to 10 users$300

The comparison isn't like for like. Keap's price includes texting, payments, booking and an automation builder that Argento doesn't have. But this firm isn't using them, and that's the whole point of the audit. If the marketer later wants a five-step drip with branching, that's a real reason to pay for automation software, and you can make that call with your eyes open. Rebuilding Keap follow-ups without a workflow builder

This is the part most switching guides skip. If you had a short nurture sequence in Keap, here's how the bookkeeping firm from the example would cover the same ground in Argento. It takes more judgment and slightly more clicking. It also means a person reads every lead.

  1. Capture. The website contact form posts straight into the CRM through form capture, so every enquiry becomes a contact without anyone copying it from an inbox.
  2. Same-day call. The administrator opens Contacts each morning, filters by lead status, and creates a task "Call back" for each new enquiry, assigned to a bookkeeper, due today, with the reminder switched on. The reminder email goes to the address set under Settings → Email Preferences.
  3. Weekly batch email instead of a drip. Every Monday, the marketer builds a campaign under Campaigns: write the message on the Compose tab, tick that week's new contacts on Recipients, then schedule it on Send. Scheduled campaigns go out on their own, and the open and click counts show who's warm.
  4. Mind the daily limit. Argento sends up to 50 emails per person per day from your own mailbox. A larger list starts with 50 and continues automatically over the following days. For a monthly newsletter to 400 clients, schedule it a week early.
  5. Ask instead of filtering. If you've connected Claude through Settings → MCP Server (setup is in the Help Center), the administrator can type: "List contacts with lead status New and create a call-back task for each, assigned to Dana, due tomorrow." Check the Recent activity log afterward.

If that list makes you wince because you have a dozen sequences with branches and wait steps, this isn't your path. Stay with automation software.

Switching from Keap: the order that works

  1. Look at your contract first. If you're on annual billing, note your renewal date. Leaving mid-term triggers Keap's $299 early termination fee, so switching at renewal is usually cheapest.
  2. Export contacts. In Keap, go to Contacts → People, tick Select All and choose Export. Up to 1,000 contacts download straight away as a CSV. Larger exports arrive as an emailed link that's valid for 24 hours, per Keap's export guide.
  3. Deal with tags. Keap doesn't export tags with contacts. Before you leave, decide which tags still matter (client, prospect, newsletter) and turn them into a column you'll map to lifecycle stage or lead status. Pull notes through Keap's Task Note Report if you need the history.
  4. Import companies, then contacts. In Argento, open Settings → Data Management → Import Data, choose the record type, select the CSV and click Next: Map Fields. Set unneeded columns to Don't Import. If an import fails, nothing is saved, so you never get half a list.
  5. Move your forms and mailbox. Point your website forms at form capture, then connect your mailbox under Settings → Email Preferences → Mail Server (Microsoft 365, Google or other SMTP) and send yourself a test.
  6. Move invoicing and booking. Set these up in your accounting software and booking tool before Keap switches off, so no client gets a broken payment link.
  7. Invite everyone. All five people get a login on Starter. Then compare plans on the pricing section of the features page if you expect to pass 10 users.

Run the 14-day Argento trial while Keap is still live. If something turns out to be missing, you can still export it again.

Frequently asked questions

What is the best Keap alternative for a small business?

It depends on which part of Keap you use. If branching email and text automations drive your sales, another marketing automation platform is the closer replacement. If you mostly use Keap as a contact list with reminders and the occasional broadcast, a flat-rate all-in-one CRM such as Argento costs far less and gives everyone on the team a login.

How much does Keap cost?

As of October 2026, Keap's pricing page lists one platform at $299 a month on monthly billing or $2,988 a year on annual billing (about $249 a month). That includes 2 users, with extra users at $39 a month each. Contact tiers are priced separately, implementation services are listed as required, and annual contracts carry a $299 early termination fee.

Does Argento CRM have marketing automation like Keap?

No. Argento has no visual workflow builder, if-then triggers, lead scoring or text messaging. Its automation is website form capture that creates contacts automatically, email reminders on tasks and tickets, and scheduled email campaigns sent from your own mailbox with merge fields and open and click tracking.

Can I move my Keap contacts into Argento?

Yes. In Keap, go to Contacts, People, select all and choose Export to get a CSV. In Argento, go to Settings, Data Management, Import Data, choose contacts and map each column. Keap does not export tags with contacts, so turn any tags you need into a column before you import.

Does Argento handle payments, invoices or appointment booking?

No. Argento has no payment processing, invoicing, text messaging or appointment scheduler. Most small businesses that leave Keap keep invoicing in their accounting software and use a separate booking tool, then track follow-ups in Argento as tasks with due dates and email reminders.

Is there a Keap alternative without per-user pricing?

Yes. Argento CRM charges a flat plan price with users included: $25 a month for up to 10 users, $50 for up to 50 and $100 for up to 100. Deals, tickets, tasks and projects are unlimited on every plan, and there is a 14-day free trial.
