Insightly Alternative for Small Teams: What to Switch To and What You'd Lose

Insightly is a solid CRM with projects built in. The trouble starts when everyone who touches a job needs a login. Here's how to tell whether switching actually saves you anything.

Short answer

The right Insightly alternative depends on what's pushing you out. If you rely on Insightly's workflow automation, custom objects or marketing add-on, you'll lose real capability by switching, so look at a cheaper tier or stay. If the problem is paying per user for people who only need to see the customer, and buying a separate Service product for support, a flat-rate all-in-one CRM is the better fit. Argento CRM is $25 a month for up to 10 users with deals, support tickets, tasks and projects in one workspace. It has no workflow builder and no forecasts.

Most teams searching for an Insightly alternative aren't unhappy with the software. Insightly is a capable CRM with project management built in, which is rare. What usually changes is the team. You hire installers, a project coordinator or someone to answer support email, and each of them needs to see the customer record. On a per-user plan, every one of those logins costs the same as a salesperson's. This guide prices that problem for a realistic small team, sorts the alternatives by the gap they fill, maps Insightly's records to Argento's, and tells you plainly when to stay.

What Insightly does well

Start with what you'd be giving up. Some of it has no equivalent in simpler tools, including ours.

If those four points describe how you work today, keep reading with a skeptical eye. The rest of this guide is mostly for teams whose pain is cost and sprawl rather than missing features.

Why small teams look for an Insightly alternative

"Insightly is too expensive" can mean three different things, and only some of them are fixed by switching. Tick the rows that sound like you:

What you're running intoWill switching fix it?
Office staff, technicians or project people need a login, and each one is a full per-user charge.Yes. A plan with users included removes the problem entirely.
Support requests need tickets, and Insightly Service is a separate per-user product.Yes, if the alternative has tickets built into the same customer records.
You moved up to Professional for workflow automation, then barely used it.Maybe. Dropping to Plus is the cheaper first step.
You need custom objects that model your business, such as equipment or properties.Probably not. Most simpler CRMs, Argento included, offer custom columns rather than custom objects.
Your marketing team runs nurture campaigns in Insightly Marketing.No. You'd need a dedicated marketing tool alongside any lighter CRM.
The team finds the CRM slow to update, so records go stale.Often. Fewer fields and fewer screens usually mean more updates.

If your ticks cluster in the top two rows, the case for switching is strong. If they're in the bottom half, adjust your Insightly plan before you move anything.

Insightly pricing as of November 2026, applied to one real-shaped team

As of November 2026, Insightly's pricing page lists the CRM at $29 per user per month on Plus, $49 on Professional and $99 on Enterprise, all billed annually, with a 14-day free trial that doesn't ask for a card. Insightly Service, the help desk, is priced separately starting at $29 per user per month billed annually. Insightly Marketing is priced per account, starting at $99 a month on its Plus tier.

Say you run an eight-person commercial signage company. Two people quote and sell, three install, one coordinates projects and orders materials, one runs the office and answers the support inbox, and the owner floats between all of it. Everybody needs to see the customer's history; only two of them work opportunities. Here's year one at list price:

SetupHow it's calculatedYear one
Insightly Plus, all eight people8 users × $29 × 12$2,784
Insightly Professional, all eight (for workflow automation)8 users × $49 × 12$4,704
Insightly Plus for four office-facing people, installers left out4 users × $29 × 12$1,392
Insightly Plus for all eight, plus Service Plus for the two who handle support$2,784 + (2 × $29 × 12)$3,480
Argento CRM Starter, all eight people$25 × 12, up to 10 users$300

Row three is the one we see small teams drift into, and it's the expensive one in practice. The installers don't get logins, so job notes come back by text message, someone retypes them, and half of them never make it in. The CRM ends up describing the sales process well and the delivery process badly.

To be fair, the rows aren't like for like. Insightly Professional gives you automation and customization Argento doesn't have. If those automations save your coordinator an hour a day, $4,704 is a reasonable price. The narrower point is that per-user pricing charges the same for someone who opens three records a week as for your busiest salesperson. We cover that trade-off in more depth in CRM without per-user pricing.

Insightly alternatives, grouped by the gap they fill

Roundups of Insightly alternatives tend to rank a dozen products as if they were interchangeable. It's more useful to decide which direction you're going first.

A bigger suite

If you're leaving because Insightly can't do enough, the move is up: HubSpot's paid hubs, Salesforce or Zoho CRM. You'll gain depth in marketing, reporting and customization, and you'll pay for it in setup time and per-seat cost. Our HubSpot alternatives guide and Salesforce alternatives guide lay out those trade-offs.

A pipeline-first sales CRM

If your team is mostly salespeople and projects are an afterthought, a sales-focused tool with a deal board may suit you better. It won't replace Insightly's projects, though. See our Pipedrive alternative guide for how that category prices out.

A flat-rate all-in-one CRM

If you chose Insightly because it combined CRM and projects, and the bill is what hurts, this is the closest match. You keep customers, deals, projects and tasks together, add support tickets without a second product, and stop paying per login. You give up workflow automation and deep customization. This is where Argento sits.

A separate project tool plus a basic CRM

Some teams split the difference: a cheap contact manager for sales and a dedicated project management app for delivery. It works until someone needs to know whether the customer who's complaining about an install is also halfway through signing a second job. Then you're searching two systems.

From Insightly to Argento: a record-by-record map

Here's how Insightly's main records translate. The gaps are in bold so you can judge them before a trial, not during one.

In InsightlyIn Argento CRM
OrganizationsCompanies, with email, phone, address, website, industry, type, referral source and notes. Opening one shows its contacts, tickets, tasks and projects.
ContactsContacts, with position, industry, location, lead status, lifecycle stage and social profiles. One contact can be linked to several companies.
LeadsContacts filtered by lead status and lifecycle stage. New website leads arrive on their own through form capture.
OpportunitiesDeals with name, description, company, status, priority and due date. No win probabilities or forecasts.
Pipelines and stagesYour own deal status list, shown as a sortable, filterable column. No kanban board.
Projects and milestonesProjects linked to a company, with status, priority (Low, Medium, High) and due date. Break the work into tasks or ticket subtasks. No milestone or Gantt view.
TasksTasks with due dates, statuses and email reminders.
Insightly Service ticketsSupport tickets with subtasks, a running notes history, status lists and reminders, included on every plan.
Knowledge base (Insightly Service)A built-in knowledge base for internal how-tos and answers.
Custom fields and objectsCustom columns on your lists. No custom objects.
Workflow automationNo workflow builder or if-then triggers. Automation covers form capture, task and ticket reminders, and scheduled email campaigns.
Insightly MarketingEmail campaigns sent from your own mailbox, with merge fields, scheduled send and open and click tracking, capped at 50 emails per person per day and continued automatically over the following days. Not a full marketing automation tool.
AppConnect integrationsAn MCP server that connects Claude and other MCP-capable assistants to your records. No general integration platform.

If any bold item is a dealbreaker, Argento isn't your Insightly alternative. Better to know that from a table than on day ten of a trial.

A one-week switch plan

For a team the size of the signage company, plan on a week of part-time effort, mostly on cleanup rather than mechanics. Keep Insightly running until the end.

Day 1: export and trim. Export organizations, contacts, open opportunities, open tasks and open projects from Insightly as CSV files. Before importing anything, delete contacts with no email and no phone, merge duplicate organizations, and agree on a short list of lead statuses. Moving is the cheapest time to clean up.

Day 2: companies, then contacts. In Argento, go to Settings → Data Management → Import Data, choose companies, select the organizations file and click Next: Map Fields. Set anything you don't need to Don't Import. Repeat with contacts. The summary lists skipped rows and the reasons, and a failed import saves nothing, so you won't end up with half a list. Step-by-step detail is in the Help Center import guide.

Day 3: open work. Import open tasks as tasks and turn on reminders for anything due this week. If you used Insightly Service, import open tickets as Argento tickets. Projects and open deals aren't in the importer, so add a handful by hand under Projects → Add Project and Deals → Add Deal. For more than a dozen, connect Claude under Settings → MCP Server (setup in the Help Center), paste the list and ask it to create each one linked to the right company. Check the Recent activity log afterward.

Day 4: forms and statuses. Point your website forms at Argento with form capture, which works with Contact Form 7, Gravity Forms, Ninja Forms, WPForms, Elementor and plain HTML. Set your ticket, task, project and deal status lists to match how the team already talks.

Day 5: invite everyone. The installers and the office manager who never had an Insightly seat get a login now. Show them one thing: how to open a company and see every ticket, task and project on it. That's the whole reason for the move.

Use the following week of the 14-day trial to run real work through it. If something you depended on turns out to be missing, you can still export it from Insightly.

Stay on Insightly if any of these are true

If none of those apply, and your bill grows every time you hire someone who doesn't sell, a flat-rate CRM is worth two weeks of your time. Our guide to all-in-one CRM and project management covers the deal-to-project handoff in more detail, and you can compare every Argento plan in the pricing section of the features page.
